You are working in the IT department of a small medical organization named “Quality Medical Equipment” (QME). QME employs 70 people and sells 50 different medical products. Currently QME uses a database system named “MediMate” to list customers’ details, orders, purchases and any other follow up information. It is used daily by a team of 6 people who talk directly to customers and complete data entry. The hardware, on which MediMate runs, was recently assessed for performance and capacity. It is almost at full capacity on the disk drive and the performance summary simply read ‘Slow’. One possible performance solution would be to add additional RAM and an additional disk drive, however the hardware is old. It has been confirmed that QME is planning to expand their product line in the coming year and the hardware will require an upgrade to process the increased load. Funds are available to purchase new hardware and it is a good time to install a new server to solve the immediate problems and provide additional scope for future expansion. QME does not currently have a Service Level Agreement with any vendor and the MediMate database is able to be customised by staff within the Information Technology Department. You are a member of David Blair’s team in the Information Technology Department. You are responsible for implementing the change request process, the aim being to address the performance issues by moving the database to a new server. You must adhere to the QME Change Request Policy. All changes must be approved by QME’s CEO Adam White prior to any action being implemented. When the changes are approved the Information Technology Manager, David Blair, is responsible for organising the team to review, plan and implement the change and provide training to relevant staff. The Problem The MediMate system is very slow. The team often need to obtain information from the database and cannot do so efficiently or effectively. Users have indicated it would help have reporting functions to obtain this information. At the moment it is only possible to access data using a number of search functions. Staff then manually manipulate the data to have useful information for management. This is very frustrating and time-consuming for the staff who use the database and also management who require the information. Ultimately this affects the ability to service customers.
